Terms of Service
These terms are the agreement between Hyluminix Infosystems Private Limited (“we”, “us”) and the business that subscribes to the Hyluminix HRMS service (“the tenant”, “you”). By registering a tenant or using the service, the person doing so confirms they are authorised to accept these terms for the tenant.
1. The service
Hyluminix HRMS is a multi-tenant HRMS for managing employee records, attendance, leave and payroll/reports. Optional add-ons are GPS attendance and face-recognition attendance. The Android companion app is “HRMS Attendance”. Each tenant gets an isolated database, and the tenant's data is never mixed with another tenant's.
2. Accounts and responsibilities
- The tenant administrator is responsible for the tenant's users and for keeping administrator credentials secure.
- The tenant must have a lawful basis to enter its employees' data into the service, and must give the notices required by law (including for GPS location and face biometrics).
- You must not use the service for anything unlawful or to store data you have no right to hold.
3. Subscriptions and pricing
The service is sold per user, per month in Indian Rupees (INR):

Prepaid cycles are discounted: paying 6 months up front gives 10% off and paying 12 months up front gives 25% off. The exact amount payable is always shown by the service before payment and is charged for the user count and cycle you select.
4. Free trial
New tenants can start with a 14-day free trial without providing a card. When the trial ends, the tenant can choose a paid subscription; if it does not, access to paid features stops.
5. Prepaid terms and refunds
Prepaid 6-month and 12-month subscriptions are discounted in exchange for the upfront commitment. They are non-refundable except as stated in the Refund & Cancellation Policy or where the law requires a refund. The Refund & Cancellation Policy forms part of these terms.
6. Acceptable use
- Do not attempt to access another tenant's data, probe the service's security, or interfere with its operation.
- Do not upload malicious code or content you do not have the right to use.
- Do not resell or sublicense the service without our written agreement.
7. Availability and support
We aim to keep the service available and will perform maintenance where needed. Support is provided by email at info@hyluminix.com during Mon–Sat, 10:00–18:00 IST, excluding public holidays. We do not promise uninterrupted or error-free operation.
8. Intellectual property
The service, its software and its branding remain our property or that of our licensors. The tenant keeps ownership of the data it enters, and grants us the rights needed to host and process that data to provide the service.
9. Termination and data after termination
Either party may terminate the subscription as described in the Refund & Cancellation Policy or by notice to the other. On termination, access stops at the end of the paid period. The tenant can request export or deletion of its data; records that the tenant must keep for statutory payroll, tax or attendance purposes are retained for that required period, as described in the Privacy Policy and the Delete Account page. After the retention period the data is deleted.
10. Limitation of liability
To the extent permitted by law, our total liability arising out of or relating to the service is limited to the amounts the tenant paid for the service in the twelve months before the claim. We are not liable for indirect or consequential loss, or for decisions taken on the basis of data entered by the tenant. Nothing in these terms excludes liability that cannot lawfully be excluded.
11. Governing law
These terms are governed by the laws of India, and the courts at Madhya Pradesh, India have jurisdiction, unless a mandatory provision of law requires otherwise. These terms are the agreement between you and Hyluminix Infosystems Private Limited.
